Using the Export Content page
Introduction
The Export Content page allows you to export content from Google Docs and Notion to any of your connected Content Management Systems. It allows you to export multiple documents simultaneously and specify additional export settings for each document.
The Export Content page can be accessed by selecting the “Export Content” option in the sidebar of the Cloudpress application.
An overview of the export process
The export process consists of 3 steps, namely:
- Selecting the content source
- Selecting the connection for Content Management System (CMS) you want to export to
- Selecting the files you want to export and specifying additional export settings for each file
At the top of the page, you will see your status in this process and your selected export options. For example, when you first access the page, the status will be empty, and a little blue dot will indicate that you are at the first step, namely, selecting the content source.
Once you have selected a source, the status will be updated to indicate the source you have selected. The blue dot will also indicate the next step, selecting the destination you want to export to.
Once you have selected the destination, the status will update to indicate your selected connection. The blue dot will indicate that you are at the final step, selecting the exported files.
Let’s look at each of these steps in more detail.
Select the content source
The Export Content page allows you to export content from either Google Docs or a connected Notion account. The first step of the export process will allow you to select the content source. You will always have the option to select from Google Docs. If you have [connected a Notion account](https://www.usecloudpress.com/docs/integrations/notion/connect-account\), those accounts will also be listed.
To proceed, click on either the “Google Docs” item or the Notion account you want to export from.
Select the export destination
The next step is to select the connected CMS account you want to export to. You will see all the CMS accounts you have connected listed.
To proceed, click on the account you wish to export the content to.
Select the documents to export
The final step is to select the documents you wish to export and optionally specify additional export settings for each document. The procedure to select a document is slightly different, depending on whether you selected Google Docs or Notion as the content source.
Selecting documents from Google Docs
To select documents to export from Google Docs, click the “Select Documents…” button.
This will open the Google Drive picker, requiring you to authenticate with your Google account first. If you are signed in to multiple Google accounts, you must select the correct account first.
The first time you export from that account with Cloudpress, you will also need to give Cloudpress access to your account. Be sure to select the checkboxes next to each of these permissions; otherwise, Cloudpress will be unable to connect to your Google account.
Please note that Cloudpress will only be able to access the content from the documents you select later; we will not be able to read any of your other Google documents.
Click on the “Continue” button to proceed. Next, you may be prompted to allow cookies. You will need to accept this; otherwise, the Google Drive picker will not work correctly.
Select the documents you want to export by clicking on the relevant document. You can select multiple documents by holding the Ctrl key on your keyboard while clicking on the document. Finally, click the “Select” button to proceed.
After you have selected the documents, Cloudpress will download the content of those documents for export. This will only take a second or two.
To select additional documents, click the “Select Documents” button again.
Selecting documents from Notion
To select documents to export from Notion, click the “Select Documents…” button.
This will open the Notion document picker with your most recent documents listed first. Select the document(s) you want to export by clicking the checkbox to the left of the document name. Once you have selected the documents, click the “Select” button at the bottom right of the document picker.
Search for a document by typing a search term in the textbox at the top of the document picker. Only the documents containing the search term in their title will be displayed.
After you have selected your documents, you will see them displayed on the page. You can select additional documents by clicking the “Select Documents…” button again.
Specify additional export settings
You can specify additional export settings by clicking on the gear icon in the selected document list.
This will open a settings panel that allows you to specify additional settings, such as changing the document title. We are working on adding additional settings, such as specifying values for fields in your CMS, such as the author or category.
Export the documents
Once you have selected all the documents you want to export, you can click on the “Export All” button to submit the documents for export.
Cloudpress displays the progress of the export for each document below the title. The export happens in the background, and the time it takes to export the content depends on the size of the document and the number of images in the document. Typically, a document is exported within 1 to 10 seconds.
Once all the documents have been exported successfully, a message will be displayed indicating that the exports are complete. You can review the export logs on the job history page.
You can click on the “Export More Documents” button if you'd like to export another batch of documents. This will restart the export process, allowing you to select a new source, destination, and documents for export.
